Asys's Dealhub Implementation: From Excel Quoting to CPQ Guided Selling

The Challenge

Asys redesigned the Chronos pricing model. The existing quoting process did not scale with the new model.

Sales reps built every Chronos quote from a set of Excel files.

The redesigned pricing carried real complexity: different offers for different client types, each with its own pricing logic, prices that shift with the number of options a client selects, and multi-offer quotes on a single deal. On top of the software licences, Asys quotes consultant implementation time, with projects running from three months to more than a year. Estimating that time meant assigning tasks and days to consultants by hand.

A spreadsheet-based system made new reps face a long ramp before they could produce a correct quote.

Pricing knowledge stays locked in the files and the few people who maintain them. As the model grew more detailed, the gap between the model's requirements and the spreadsheet's limits kept widening.

Asys had already chosen HubSpot as its sales platform. The next step was a quoting engine that matched the redesigned pricing and lived inside HubSpot, so reps quote without leaving the deal.

Decision Bridge

Asys's requirements: option-based pricing math, consultant-time estimation, role-based approval routing, and a client-facing quote experience beyond a PDF.

DealHub matched those requirements. Its rule engine handles the pricing complexity Asys needed, and its native HubSpot integration kept the sales team inside the environment they already used.

Elixir led the implementation, designing the pricing logic and approval structure with Asys and building the integration into their HubSpot instance. The scope stayed on Chronos rather than both products, which kept the first build tight and testable.

The Solution

1. Guided-selling playbook

Elixir replaced the Excel quote with a DealHub playbook. The playbook guides a rep through the sale as a series of question groups. Questions respond to earlier answers, so the interface shows only the options relevant to the configuration in progress. Fields pre-populate from HubSpot, pulling company name, business unit, and employee count from the deal record so reps avoid re-entering data. A new rep follows the guided flow instead of learning the full pricing logic before writing a first quote.

2. Pricing rules, consultant-time estimation, and approvals

Chronos pricing shifts with the number of options a client selects. Elixir configured DealHub's rule engine to read the selected options and apply the correct price automatically, removing the manual calculation the Excel files required. For services, Elixir built an estimation workflow inside the playbook. A solution engineer assigns tasks and days, DealHub multiplies the billable days by the daily rate, and the output becomes a service line item on the quote. The estimate routes to the engineer's manager and the delivery manager for approval before sales sets the final figure. Discount thresholds and non-standard contract terms trigger role-based approval routing, with approvers notified by email and a dashboard showing how long each quote has waited.

3. Native HubSpot integration and the client-facing DealRoom

The integration runs both directions. A rep opens a HubSpot deal, clicks through to DealHub, builds the quote, and submits it. DealHub writes the line items back to the deal and attaches the quote document. Estimated and billed time map into HubSpot as well, so Asys reports on the gap between estimated and actual consultant days. For presentation, DealHub generates a branded DealRoom, a client-facing web page carrying the quote, terms and conditions, shared documents, and electronic signature, replacing scattered email threads with one page per deal.

The Result

The solution went live in January 2026. Asys now produces Chronos quotes through the guided playbook inside HubSpot, with pricing, approvals, and consultant-time estimation handled in one flow.
